Events Committee 8/13/2024 Meeting Minutes
Restaurant Spirit Nights/Fundraisers (Carrie)
- Red Robin – 8/22 all day at Orchard location. 20% back to the school. Carrie to pick up promotional materials
- Qdoba – 9/18 at 120th and Huron location. 25% back, must make minimum of $150 in sales.
- Texas Roadhouse – 10/29 at 104th and Grant location. 10% back.
- Panda Express – 11/14 at 901 E 120th, Thornton. 20% back, $100 minimum in sales
- December – Panera
- Other options discussed include Baba Joon’s, Cava, Mod Market, Mad Greens.
Westgate Night at the Rockies (Rachel)
- Signups are low – Mechelle to promote via app blasts, email, and Edlio.

- Tuesday 11am-1pm and 3:30-5pm
- Wednesday 11am-1pm and 3:30-5:30pm
- Thursday (half day of school) 11am-12:30pm
- Friday (no school – in person conferences) 8am-12pm and 1pm-4pm
We will also have a middle school/high school book fair later in the school year.
Other Upcoming Events
Parents Night Out – 10/18 – time TBD. Carrie is going to look into Frolic/Wonderland/Satire Brewing to see if we can get an area dedicated to Westgate families for a few hours, potentially with a kickback to the school. Kid-friendly, community-building event.
Trunk or Treat – 10/25 – 5-7pm. Free community event, Signup Genius for trunks and candy donations, collecting candy donations in carline. Could look into Oriental Trading for non-candy items. App blasts/outside signs for reminders to bring candy. Jenny to get food trucks coordinated. Organize/assign spots for trunks – High School will be doing 1 trunk/grade.
Fall Bazaar – 11/16 at Peak Martial Arts. Need to get food trucks. Vendors will be excited that it’s indoors, room for about 30 vendors. Kitchenette available, $50 vendor fee (direct donation to WG) and rentable tables/chairs. Jenny to start getting vendors signed up.

Discussions
Coffee and donut fundraiser in carline discussed – would need to be in East parking area.
Carrie to look into Great Harvest Fundraiser. WG did it previously – would be done/delivered before Thanksgiving.
Ky asked about long term fundraising, such as a partnership with a bakery. Families could mention WG when ordering, kickback to WG. A Cake Occasion was offered as a good potential.
Rachel working on Sky Zone spirit night – Dec 5th.
Staff Gratitude Lists are nearly complete. Waiting on a few more responses. It will be posted on the website and mentioned in the September Events Schoolwide email.

Events Committee 9/16/2024 Meeting Minutes
Scholastic Book Fair – September 23-27, 2024
- Volunteer Sign-up could use an app blast
- Sharon to do a sign up for teachers to preview with their class.
- Teachers will be able to make a “wish list” that parents can buy from
- Need to create an email with info regarding eWallets and shopping times
Conference Food Donations
- Jenny is going to be making breakfast/lunch for teachers for Friday, 9/27.
- Sharon to send out an email asking for drink/dessert/monetary donations.
- Carrie is going to follow up with Your Pie to see if they will offer a discount to teachers for lunch on 9/26.
Kid’s Nite Out/Parent’s Nite Out – October 18, 2024
- Parent’s Nite Out will be at Wonderland Brewery 7:30-9:30pm –
they will have tables set aside, possible kickback to the school. - Kid’s Nite Out – Paul Derda Rec Center 7:00pm-10:30pm –
will be free for Westgate kids ages 7-12. - Other KNO potential locations discussed – Paul Derda Rec, Flow Vault, Peak Martial Arts, Little Monkey Bizness.
- Savita to follow up with LMB and Paul Derda to see about other options for different age groups, etc.
Fun Run – October 18, 2024
- Shirts will be sent home 10/14 for students to decorate.
- Proceeds will go towards enhancing music education at Westgate.
- Parents will be invited to watch.
Trunk or Treat at Westgate – October 25, 2024 5:00pm-7:00pm
- Signup Genius to go out for trunks and candy/non-candy/monetary donations.
- This is a community event, open and free to all.
- High School is going to do 4 trunks – there is also a possibility for them to fundraiser for their trips via hot chocolate, etc sales.
- We will do candy collection in carline on 10/21-23, both am and pm carlines. Carrie will be making signage – to be put on on 10/18.
- We will assign spots to each signed up trunk.
- Jenny will be looking into food trucks and coffee/hot chocolate if the HS decides not to fundraise.
Fall Bazaar at Peak Martial Arts – November 16, 2024 10:00am-3:00pm
- Jenny is coordinating vendors and food trucks.
- Would be nice to also have a coffee truck.
- $50 vendor fee goes to Westgate – vendors keep all their proceeds.
- HS is welcome to have free spaces
- Jenny is going to measure to determine exactly how many vendors our space can accommodate

Recap of events since last meeting
Qdoba – Westgate received $188 from this evening
Scholastic Book Fair - $10,000 in sales (previously averaged $7000). Westgate receives Scholastic “points” to spend on books or other items, or can choose cash. Rachel said sales on the last day (during conferences) were slow/steady in the morning, extremely slow in the afternoon, but picked up quite a bit around 3:45pm. Probably worth it to be open during conferences. Jenny to confirm Spring dates for Middle School Book Fair.
KNO/PNO – Paul Derda had 56 kids, LMB had 3 kids/2 families, and PNO had 10 adults.
Trunk or Treat – October 25, 2024
- 18 trunks signed up so far. Mechelle to send another email/text to hopefully up this number
- Candy donations seem to be doing well so far. Rachel/Leslie to monitor/assess to see if more needs to be purchased.
- Food Trucks will be Willy’s Wiener’s on Wheels (hotdogs) and Barbed Reef (burgers/tacos/churros/fries). Vegetarian/Gluten-free options available
- HS is going to vote for a trunk winner – Mechelle to handle that. No other trunk contest happening
- Mechelle to make a map – Rachel to mark out and assign spots to trunks. Rachel will email participants with the map and assigned spots. Rachel to let Derek know tables/chairs needed.
- Carrie promoted via KOAA and Macaroni Kid
Fall Bazaar at Peak Martial Arts – November 16, 2024 10:00am-3:00pm
- Jenny is coordinating vendors and food truck. Westgate family with coffee truck wants to participate.
- Carrie has made a signup genius for bake sale donations and volunteers, as well as a flyer. Mechelle to make a QR code to add to the flyer. Flyer to be handed out in carline 11/13.
- Carrie has been contacting businesses re: bake sale donations – Sweet Life Bakery, Le Belle, Great Harvest, A Cake Occasion, Crumbl, Kneaders.
- Discussed having a kid’s craft area/table
- Last year’s Bazaar made $1000 - $850 from vendor fees, $150 from bake sale
- Can promote via KOAA and Macaroni Kid
Skate City – November 20th, 2024 – Theme TBD
Holiday Shop – December 9-13, 2024
- Coordinating through Diamond Fundraising this year
- They will send a catalogue so we can pick items to sell.
- Set up will be December 6th – Carrie to make up the signup genius

- Jenny to follow up with Carnival food trucks to see about kickbacks owed.
- We would like to coordinate with Mrs. Kahn for a food drive this year – possibly during Kindness Week?

Discussed pricing for bake sale. Will have $5 minimum for credit cards.
Going to Peak Friday night to set up vendor spots. Signage will go out during set up on Saturday.
Skate City – November 20th, 2024 5:00-7:00pm– Pajama Theme
Holiday Shop – December 9-13, 2024
Classroom walkthrough 12/9 during lunch, similar schedule to book fair
Pack up will be 12/13 afternoon.

Recap of events since last meeting.
Fall Bazaar - $1040 earned, $180 of that from bake sale, rest from vendor fees. Minus cost of new outdoor sign. Discussed needing to increase foot traffic – more and earlier advertising.
Skate City - $476 earned – 136 skaters
Holiday Shop – December 9-13, 2024
Shipment is arriving on Thursday, Set-up is Friday afternoon, Teacher/class Preview is during the day on Monday, Sales start Monday afterschool. Schedule is similar to book fair.
Sharon sent out teacher signups.
Payment options are cash/check/voucher. Carrie to prep flyers to go out this week. Carrie also looking to do carline signs.

Kindness Week
We are also going to do a morning of coffee/donuts. Discussed gathering donut donations from The Donut House/Krispy Kreme. Want to talk with Leia Beaver about having her coffee truck come out that day as well. Would be held in the parking area to the east side of the school – parents could drive in and park after dropping kids off.
Discussed $1 flower purchases. Last year we were left with a lot of excess, unpurchased flowers. The 2 years prior, we sold out. Discussed other ways to handle ie presale and/or ticket system. Decided to do same sales system this year, will change course next year if we have excessive unpurchased flowers again. Cash/check only.
Carnival
Silent Auction donation requests – we need to start requests with some organizations – some want requests 4-6 months in advance.
Mechelle to work on liquor permit so we can look into a beer tent.

Events Committee 1/14/2025 Meeting Minutes

Recap of events since last meeting
- Your Pie Spirit Night – $140 earned
- Holiday Shop – A few boxes still need to be sent back, UPS only picked up some of them. We should know how much was made later this month or next month. This was a new company – do we want to stay with them? Probably yes – received good feedback from families regarding items/pricing. Items seemed more durable.
Kindness Week – February 10-14, 2025
- Theme – Cornucopia of Kindness
- Going to coordinate with the daily themes
- Monday – Words of Affirmation – Cornucopia on wall/bathroom upgrade
- Tuesday – Quality Time – Breakfast provided for staff
- Wednesday – Acts of Service – Carline Duty
- Thursday – Gift – Flower sales
- Friday (half day) – Coffee/donuts at morning carline
- Carrie to do signup genius – volunteers needed for Sunday set-up, carline duty, flower sales, donuts. Items needed – bathroom upgrades (TP, lotions, mints, etc)
- Cornucopia – Paper vs white board? Jenny to look into cost of purchasing a white board. Students to write kindness notes for staff/classmates on board at top of stairs.
- Donation requests – looking into donations from 5280 Produce, Costco for teacher breakfast; Trader Joe’s, King Soopers for flowers; Donutville, Donut House, Krispy Kreme for Friday donuts.
- Jenny to contact Leia re: coffee truck. Rachel to contact AWF for quote on flowers.
- We will also be supporting Mrs. Kahn with the schoolwide food drive. 1500 item goal.

Other Business/Brainstorming - Middle School Book Fair – March 3-6. 6th is the in-person conference day. Similar schedule to regular book fair. Rachel to do signup genius.
Spirit Nights
- Skate City 1/29 – theme is School Spirit.
- Rachel to set up Mammoth game for February.
- Skate City 3/13
- Jenny to contact KNO to schedule a date in April. Once that is set, Rachel to contact Little Monkey Bizness and
- Carrie to set up PNO brewery option.
- Conference Meals – only needed for Thursday, March 6. Ms V said that staff did a crockpot meal, and it was a lot of food. So, perhaps only breakfast is needed.
- High School – Karan (Student Council President) attended our meeting, as we would like to support and include the HS more. We spoke about opportunities to get involved – volunteering (which would count towards NHS required hours), fundraising (HS trips, Prom, etc.) Upcoming volunteer options include Kindness Week flower sales and Carnival positions. Carrie proposed having the HS pick out a restaurant that they’d like to see used for a Spirit Night in March and we would coordinate/set up the event. HS can help market it and proceeds raised can go to HS Prom funds. Karan said he would bring it to the next Student Council meeting and get back to us.

SILENT AUCTION DONATION ASSISTANCE: If you are interested in helping solicit donations for the silent auction, please email us and let us know. There are many ways to get donations and it can certainly be done at odd hours and from home, especially online requests and email requests. We also do in-person requests and phone calls. We provide you with all information and necessary documents and are happy for any help you can give!

Teacher Appreciation Week is May 5-9. Planning on doing a snack cart, teacher gifts, carline takeover, lunch, and a “family-driven” day. Rachel to do a signup genius.
Carnival – May 29th
Sharon to look into bounce houses/tents/tables and chairs with Guzman’s. Want to get an additional tent for silent auction items.
Jenny coordinating food trucks –Kona Ice is in. Talked about Infinitus Pie - $850 minimum, but lenient. Possibly a Poutine truck, or Best Spuds, Sliceworks, Willy’s Wieners on Wheels.
Mechelle - Beer tent/truck – need to have permitting turned in no later than 45 days in advance. Will be located in the “horseshoe” area
“Sponsor” area – Raising Cane’s to have a table, giving away free items. We will look to see if other places want to participate as well, ie Dave and Buster’s, Peak Martial Arts, Boondock’s, Rush Bowls. Located along the path to the bounce houses.
Snack Table – Popcorn, cotton candy, water only
Classroom Baskets – Jenny to come up with theme ideas – send to teachers to sign up. 1 basket per grade (2 for kindergarten?), 1 for HS.
Next Meeting: April 14th @2pm, location TBD.

Recap of events since last meeting
- Spirit Night at Tap & Dough – well received, $966 back to WG
- Skate City Spirit Night – lower attendance (normal for this time of year) – 103 skaters - $309 back to WG. They will be donated a birthday party for the silent auction, as well as providing summer skate passes.
- Middle School Book Fair – good feedback received. Sales - $2900 – Teri states we have a lot of Scholastics “bucks”, we need to switch to cash back. Talked about scheduling of fair, ie during conference weeks, hours, etc.
Restaurant Fundraisers
- Freddy’s is scheduled for April 24th, 4-8pm
- Carrie is looking at dates for Menchie’s in May
Spirit Nights
- Urban Air is scheduled for April 18th, 4-8pm
- Not scheduling any other Spirit Nights for May, as May is busy enough!
Teacher Appreciation Week - May 5-9
- Monday – Snack Cart,
- Tuesday – Carline Takeover,
- Wednesday – Gifts,
- Thursday – Family-led (families show their appreciation with cards, notes, treats, etc),
- Friday – Lunch

- Donation requests looking good so far, around $6500 collected. Need to go out in person to contact a few more places.
- Contract is signed with Guzman’s for inflatables, tents, tables and chairs.
- Food trucks – Kona Ice and Best Spuds are confirmed. Jenny to set up one additional truck.
- Beer tent/garden – Mechelle has sent in application for the city permit. Jenny to coordinate with a local brewery and make sure NA options are included.
- Sponsor Row – Raising Cane’s and Peak Martial Arts confirmed. Potential to have the design team for the gym-itorium to have a booth and gather opinions as well. Discussed other businesses to contact and people assigned to contact them.
- Classroom Baskets – Themes sent out to teachers and have been picked. Jenny to work on signup geniuses. Robin suggested adding a registry/wish list, so parents could click to buy and items would be sent directly to school. Robin to look into setting that up with Target/Amazon. Teachers can add things and Jenny will add to the signup geniuses. Goal to send out to parents by 4/21.
- May 28th – planning to meet this day to make cotton candy, package classroom baskets, complete silent auction displays. Help will be needed!

Restaurant Fundraisers
- Yogurt Yum is scheduled for May 21st, 120th and Colorado location, in person only.
- Received check from Buffalo Wild Wings.
Carnival – May 29th
- Silent Auction – 145 donations (some items are combined) and 21 baskets/bags, 12 classroom baskets. Need to order more displays. Need to start collecting clipboards for bid sheets.
- Food trucks – Kona Ice, Best Spuds, Willy’s Wieners on Wheels, and Spicy Joint are confirmed.
- Sponsor Row – 6 businesses confirmed. Rachel to send email to sponsors this week re: setup/map/etc
- Volunteers – still needed. Non-teaching staff to fill in spots after parents have access. Robin will ask BOD, Ms. V to check with students for NHS hours.
- Additional porta-potty and special cleaning scheduled. Hand sanitizer stations will be available.
- Wristbands – 50 sold so far. 172 presold last year.
- Map – Mechelle to finalize map to send to families/large print option available at event.
2025/2026 Events/Spirit Night Brainstorming
- Potential Restaurant Nights: Postino and G Que BBQ recommended
- Per SAC survey – families would like to see a Family Game Night, Brewery Night, or Tree/Plant sale next year. Discussed potentially partnering with Do Gooder Games for a Family Game Night.
- Discussed doing Original Works earlier next school year
